According to the latest report from the Fundraising Effectiveness Project, Q3 2024 marks the fourth consecutive quarter where the overall donor retention rate has decreased year-over-year. Taking into account these continued declines, as well as the uncertainty of future federal funding, many nonprofits are now focusing more heavily on robust stewardship plans designed to engage individual donors. 

Alongside the traditional thank-you notes, phone calls, and newsletters, another touchpoint some nonprofits have integrated into their retention strategy is the donor appreciation event. Unlike your fundraising events, a donor appreciation event focuses solely on gratitude, emphasizing to donors the impact of their gift and their role in your organization’s mission. 

This has numerous benefits for both your nonprofit and your donors. 

Benefits of a Donor Appreciation Event

  1. Strengthening Relationships: Meeting donors face-to-face and expressing your gratitude creates a memorable experience that can enhance your connection with them, as well as their connection to your cause.
     
  2. Demonstrating Impact: A donor appreciation event is your opportunity to truly make the impact of a donor’s gift come to life. Whether through stories from your beneficiaries, presentations from leadership, or a tour of your space, attendees at your event can get a tangible picture of how they have individually made a difference and collectively contributed to a broader mission.
     
  3. Encouraging Continued Support: When donors feel valued, they’re more likely to continue supporting your work. Though donor appreciation events do not usually include an ask, if successfully implemented, the event serves as inspiration for ongoing and increased giving down the road.
     
  4. Creating Ambassadors: Donors who feel appreciated are more likely to spread the word about your organization, helping to increase visibility and attract new supporters.

Tips for a Successful Donor Appreciation Event

  1. Make the Purpose of the Event Clear: Typically, a donor appreciation event should not include an ask. The goal of the event is to thank your donors, demonstrate the impact of their gifts, and strengthen their relationship with your organization and its mission. This should be clear in the naming of the event, as well as the messaging surrounding it, such as the invitation. If you’re thinking of including an ask and inviting prospects, you may be planning a cultivation event as opposed to purely a donor appreciation event.   2. Be Strategic with Your Guest List: One of the first steps in planning your donor appreciation event is deciding who the target audience is. Will your event be exclusively for your top tier of donors, as is commonly the case, or are you interested in a community-focused event that includes a broad base of supporters?
     
  3. Determine Your Budget: Is the event going to be something that you build into your budget, or will you rely on sponsorships to cover the cost? If you’re on a tight budget, you may decide to go with a breakfast or a dessert and coffee event to make catering and food/beverage costs more affordable. You could also consider leaning on your board members to host intimate gatherings that don’t require significant cost investment from your organization or hosting the event at your own premises with a tour of your facilities to save on venue costs.
     
  4. Personalize Invitations and Plan Multiple Touchpoints: As with any event, you’ll need to plan to send multiple communications such as a save the date, the invite, follow-up emails, and phone calls. The invite can be a standard invitation with the key information about the event, but additional communication should contain some personalization to the individual attendees, highlighting how the donor’s contributions have specifically helped your mission. Having different stations focused on specific initiatives, where donors can engage with program staff and learn about the impact of the programs they support, is a great way to encourage donors to walk around and mingle.
     
  7. Follow Up: Don’t let the appreciation end with the event. Follow up with a personalized thank-you note or a small token of appreciation. Recap the event with photos or videos to reinforce the positive experience.

A well-executed donor appreciation event can have a lasting impact on your supporters’ commitment to your cause. By expressing gratitude in a thoughtful and personal way, you’ll strengthen relationships, inspire continued support, and ensure that donors feel truly valued.
